Document imaging is a technology that converts paper into an electronic form, where it can be automated using standard computer technology. By capturing paper documents as electronic images stored by the computer, all the benefits and power of database, email, networking, fax and storage technology can be applied to what was once manually processed information.

Image documents can be electronically filed using multiple indexes and filing methods, and can then be quickly and easily searched and retrieved. Image documents can be shared among multiple users that are both local and distributed across the hall or halfway around the world with equal ease.

With ExeScan Document Management, an individual can use a PC to transform any paper or fax based information into an electronic image document that can be stored, filed, retrieved, edited, printed, emailed, faxed and shared. This eliminates the need to manage and store paper documents, such as hand-written meeting notes, memoranda, letters, personal medical and insurance records, receipts, business cards and newsclips. NB (some document originals may need to be kept for legal reasons).

Fill in the email recipient in the normal way. If you wish to add your office location (recommended) to the email to make it unique add your office name, Tools - Options - Misc before starting to email. The office location will then be used by the recipient.

DO NOT alter the subject line. The message body can be modified above the message already inserted by ExeScan.

You may need to alter the email system used by ExeScan. This can be done from the Tools - Options - Misc - Email Type. Most users will use MAPI. Microsoft Exchange and Outlook have been tested and known to work well. Due to the complexities of email other email systems may not work.

NB ExeScan relies on the underlying Email system to be fully functional.

It is still possible to send documents to users that do not have ExeScan. You will need to attach the document to an email by hand. The recipient will then open the document (a Windows .tif file) using the viewer installed on their PC.

ExeScan is primarily used to store scanned documents. However it is possible to include any type of file that can be printed. Using a special driver (available at extra cost) it is possible to 'print' the document straight into ExeScan. The file is turned into a .tif file and sent to ExeScan rather than printed to your printer!

Once the file has been saved in ExeScan, changes made to the original document will not be re-saved in ExeScan. Essentially you are viewing a snapshot of the file at the time it was printed. ExeScan will only handle Black & White Images due to the huge amounts of disk space required to handle colour images.

We have included trial versions of the driver on the CD in the Utils\Tiff Printing. Ensure you choose the correct version. Follow the instructions in the readme file for each version.

Ensure you choose the correct file for your Windows version. Unzip the files and run the installation program. From your application, 'Print' the document to the 'Infomatik Image Driver', when the dialog appears choose ExeScan as the application to launch (the tif file name is not important at this stage). When the printing has stopped ExeScan will load and the document will appear ready to be added to the ExeScan database.

To unlock the release version please contact ExeScan via support@exescan.co.uk

ExeScan not only allows you to add scanned, faxed and emailed documents to it's database but now you can add any document. It works as follows:

You install a simple 'ExeScan Print Driver' that you 'Print to' from your application. Instead of the page being printed in the traditional sense, it gets posted as a TIFF file straight into ExeScan where it can be indexing and saved away. Simple and it works brilliantly.

See www.exescan.co.uk/tiffprinting.html for more details.
